Please read these Terms and Conditions carefully before booking a tour with Aurora by Gole. By confirming your booking, you agree to the terms set out below.

Booking and Payment

  • Full payment is required at the time of booking to secure your place.

  • You will receive a confirmation email with tour details, including meeting point and start time.

Meeting Point and Start Time

  • Unless otherwise stated for private tours, all tours depart from Magic Ice Bar Tromsø, Kaigata 4, 9008 Tromsø.

  • Please arrive at the meeting point at least 15 minutes before departure.

  • Departure times vary depending on the season and will be confirmed in your booking email.

Participants

  • The minimum age to join our tours is 6 years.

  • Children under 135 cm require a child safety seat, which can be provided upon request at booking.

  • Maximum group size for our minibus tours is 15 participants.

Travel Documents

  • A valid passport is required if the tour route crosses into Finland. Guests are responsible for carrying the necessary travel documents.

What’s Included

Each tour includes specific services as described on the relevant tour page. These may include:

  • Transport in a comfortable minibus

  • Experienced local guide and driver

  • Thermal suits

  • Hot beverages, snacks and cookies

  • Bonfire when weather permits

  • Professional photos and photography assistance

  • Hotel drop-off within Tromsø city center (Northern Lights tours only)

Guest Responsibilities

  • Dress appropriately for Arctic conditions, including warm layers and sturdy footwear.

  • Bathroom facilities may be limited during tours.

  • Space in the minibus is limited; please avoid bringing large luggage items.

  • A basic fitness level is recommended. While walking is minimal, conditions may include uneven terrain, snow, or slippery surfaces.

  • All tours operate in various weather conditions, including wind, rain and snow.

Safety and Conduct

  • Guests must follow all safety instructions from guides at all times.

  • We reserve the right to refuse participation to anyone whose behavior is unsafe or disruptive, without refund.

Cancellations and Refunds

  • Cancellations made more than 24 hours before departure will receive a 100% refund.

  • Cancellations made less than 24 hours before departure are non-refundable.

  • Rescheduling is not possible within 24 hours of the tour.

  • Northern Lights tours: The aurora is a natural phenomenon and cannot be guaranteed. No refunds or replacement tours are offered if the Northern Lights are not seen.

  • If we cancel a tour due to safety concerns or unforeseen circumstances, guests will be offered the option to reschedule or receive a full refund.

Cancellation Policy for Private Tours & Group Bookings (6+ People)

  • Full refund for cancellations made more than 7 days before the tour begins.
  • 50% refund for cancellations made 4 to 7 days before the tour begins.
  • No refund for cancellations made 3 or fewer days before the tour begins.

Please email us if you wish to cancel a group booking or private tour.

Liability

Aurora by Gole is not responsible for delays, changes, or cancellations caused by weather, road conditions, or other factors beyond our control. Participation is at your own risk, and we recommend that all guests have appropriate travel insurance.
